Privacy policy

This privacy policy explains how Smart Health and Science, trading as ZelfTech, processes personal data through zelftech.nl, its enquiry forms and the restricted ZelfTech Portal.

1. Data controller

Smart Health and Science (sole proprietorship), trading as ZelfTech, is the data controller. Address: Kerkstraat 140, 6267 EG Cadier en Keer, the Netherlands. KVK: 86191748. VAT: NL004463895B90. Privacy enquiries and requests: office@zelftech.nl. No data protection officer has been appointed.

2. Who this policy applies to

This policy applies to website visitors, representatives and staff of prospective and existing customers, facilitators using the Portal and people submitting feedback. ZelfTech does not currently offer personal accounts or profiles for children.

3. Contact and enquiry form data

When you submit an enquiry, we process the details you enter: name, organisation, role, city, number of locations, group size, phone number, email address, preferred start period and message. We also process technical form data such as language, source page and an invisible anti-spam field.

4. Portal feedback

When feedback is sent from the Portal, we process the selected issue type, message, lesson, step and page concerned, and language used. Name and email are optional and are intended only for facilitators who want a reply. Do not include children's names, contact details or other identifying information.

5. Lesson progress on the device

Answers, notes, the current lesson step and completion status are stored only in the browser's local storage on the device used. This lesson data is not sent to ZelfTech. It remains until the user resets the lesson, clears browser data or local storage is otherwise removed. Avoid names or other identifying details in open lesson fields, particularly on shared devices.

6. Automatically processed technical data

For every website request, hosting and network providers receive technically necessary information such as IP address, date and time, requested page, browser and device information, and security or error logs. The Portal uses a technical access cookie after the correct shared code is entered. With consent, Plausible may process limited, aggregated usage data; ZelfTech does not use this for advertising profiles.

7. Purposes

We process data to handle enquiries, prepare quotations and perform agreements, send service messages and replies, secure the Portal, prevent misuse, follow up feedback, improve lessons and the website, manage billing and administration, and meet legal obligations.

8. Legal bases

Depending on the context, we rely on contract or pre-contractual steps (enquiries, delivery and support); legitimate interests (security, misuse prevention, business communication and improvement, after balancing interests); legal obligation (tax and administrative records); or consent (non-essential analytics). You may withdraw consent at any time without affecting prior lawful processing.

9. Children

ZelfTech is designed for activities involving children, but intentionally does not collect children's names, email addresses, accounts or centrally stored lesson progress. The Customer is responsible for appropriate supervision and any permission required under its policies. If you believe a child has nevertheless provided identifying information to us, contact us so we can investigate and delete it where appropriate.

10. Recipients and service providers

Data is shared only where necessary with providers supporting hosting and security, business email delivery (Namecheap Private Email or, if configured, Resend), and consented analytics (Plausible). They process data according to their role and contractual arrangements. We may share data with advisers or competent authorities where legally required or necessary for legal claims or security. We do not sell personal data or use it for targeted advertising.

11. Transfers outside the EEA

Some providers may process data outside the European Economic Area. Where this occurs, we use a valid transfer mechanism, such as an adequacy decision or European Commission standard contractual clauses, with supplementary safeguards where needed. Information about safeguards can be requested at office@zelftech.nl.

12. Retention

We retain your data for as long as necessary for the purposes stated in this policy, or until you request its deletion. For enquiries that do not become a customer relationship, our working practice is no more than 24 months after the last substantive contact. Customer, invoice and administrative records are kept for the agreement and then for the applicable statutory tax or recordkeeping period (generally 7 years). Portal feedback is generally kept for no more than 24 months, unless longer retention is needed for follow-up or a legal claim. Local lesson progress remains only on the device used.

13. Your rights

You may request access, correction, deletion, restriction, portability or object to processing where the relevant right applies. You can withdraw analytics consent through Cookie settings. Send requests to office@zelftech.nl. We may request reasonable information to verify identity and generally respond within one month.

14. Complaints

You can contact us first so we can investigate. You also have the right to complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

15. Security

We use appropriate technical and organisational safeguards, including encrypted connections, access restrictions and data minimisation. No system is completely secure. Report a suspected security incident to office@zelftech.nl.

16. Automated decision-making

ZelfTech does not make decisions producing legal or similarly significant effects based solely on automated processing and does not profile people for advertising.

18. Changes

We may update this policy when the service or law changes. The current version and date appear on this page. We will provide appropriate notice of material changes.
